Sustainability: in Ormesani banned useless emails

The planet does not wait and even in Ormesani, a company specialized in assistance services and advice on customs.

At its Italian headquarters in Quarto d’Altino (VE) it has reached the goal of reducing by 80.3% the energy consumed for email management, equivalent to more than 25,000 kg of C02 not released into the atmosphere in one year.

Although the carbon footprint of a single email is not huge, Ormesani has approached with a vast efficiency program the problem that afflicts every type of company: the growing and uncontrolled increase in incoming and outgoing emails and the time devoted to them.

Every email we send uses electricity to display it and the network connection uses electricity during message transfer. And while the email travels over the Internet each server will use electricity to transmit and store it temporarily or for as long as we do not delete it. This has an impact on the environment: from 0.3 g of CO2 in a short message to 50 g of CO2 in a message with a heavy attachment. Sending for example 65 emails is about the same as driving 1 km.

Quantifying and Tackling the Problem

The Lean Mailing intervention, undertaken a few months ago with the support of Lenovys’ “Lean Mailing” experts, has produced surprising results in terms of sustainability and business efficiency.
The project had a clear objective from the beginning: to reduce the environmental impact of daily operations, through smarter management of email communications.

The team involved has optimized internal flows and adopted a new communication strategy to avoid unnecessary use of emails. After months of hard work and dedication, Ormesani has achieved exceptional results that go far beyond expectations and thanks to the optimization of flows and habits of use of email, energy consumption equivalent to the impact that would have had a car that runs almost 61,000 km in a year.

Lean Mailing: Broad engagement and stress reduction

And not only! The project saved hours of employee work, with benefits on service quality and well-being as it reduced stress and increased time to focus on higher value tasks.

“With the Ormesani team involved, made up of 7 people chosen from various business areas, we approached an initial in-depth study of the problem, which helped us to understand the real causes of inefficiencies related to the use of the tool”, explains Morgan Aleotti, Manager Lenovys.

The rest of the company’s population was also involved and questioned in the analysis, on which the members of the Project Team generated countermeasures (72 ideas to a first count), subsequently channeled into 9 sites each led by a member of the Project Group.

The teams, enriched by Ormesani people outside the original table, were dedicated in the months from May to June to ground countermeasures, reaping the fruits between July and September.

The working groups have worked actively on topics such as the review of the quotation flow, the dynamics of escalation of problems in the company, the introduction of Sharepoint as a sharing platform, The gradual elimination of Distribution Lists and the rationalisation of incoming notifications from supplier portals.

“What to say – concludes Aleotti – an intense experience that led us to know and question the functioning of fundamental processes for Ormesani, which – with great courage – members of the working tables have discussed again leaving their comfort zone.”
